Challenge

Thursday Labs approached us with a significant challenge: their client management processes were decentralized and inefficient. Teams struggled to track episodes, guest feedback, and key documents due to fragmented databases and inconsistent workflows. This not only slowed down production but also created friction in client collaboration.

Their goal?

To build a client portal system that centralizes databases and automates processes, ensuring a streamlined workflow for both the internal team and their clients.

Building Thursday Labs' digital solution

To address these challenges, we started by analyzing their existing workflows and identifying key pain points through structured discussions with the Thursday Labs team. The insights guided us in developing a solution that aligned with their unique needs.

The solution: a digital content HQ

At the heart of the transformation was the creation of Content HQ — a centralized workspace designed to serve as the single source of truth for all client interactions.

Features:

  • Centralized Databases: Unified data for episodes, guests, and documents, eliminating redundancies and enabling seamless access.

  • Advanced Filters: Ensured client-specific views while safeguarding sensitive internal data.

  • Dynamic Design: Customized interfaces that reflected Thursday Labs' branding and streamlined user navigation.

The system was designed to enhance workflows by integrating automations that ensured data consistency and reduced manual effort. For example, when new items such as episodes, guests, or documents were added to the internal database, they were automatically linked to the appropriate client’s Content HQ. This eliminated the risk of miscommunication and ensured that both team members and clients were always working with up-to-date information.

To maintain a secure environment, we structured the system to include two distinct types of pages for each client. The first was the Internal Client Page, a private workspace accessible only to the Thursday Labs team. This page housed sensitive internal information and served as the operational backbone for managing client data. The second was the Content HQ Page, a shared workspace where clients could view relevant information, provide feedback, and track progress. This division ensured that internal processes remained protected while giving clients a transparent view of their projects.

Tailored experience with a focus on privacy

We carefully designed Content HQ to balance transparency and privacy. Advanced filters were implemented to ensure clients could only view information relevant to their projects, safeguarding other clients’ data. These filters worked seamlessly within Notion’s permission framework, creating a secure and user-friendly environment. Clients were granted comment-only access, allowing them to engage with the content without risking accidental changes to the system.

The user experience was further enhanced through dynamic design elements. Each page was tailored to Thursday Labs’ branding, ensuring a cohesive and professional interface. This attention to detail not only improved usability but also reinforced the company’s commitment to quality and innovation.

Empowering the team and clients

To ensure the successful adoption of Content HQ, we provided comprehensive support to the Thursday Labs team. This included detailed documentation, step-by-step guides, and training sessions to help team members navigate the new system with confidence. Additionally, we established a maintenance plan to address any issues and implement ongoing improvements, ensuring that the system remained robust and effective over time.

The results: a unified workflow

Through our collaboration, Thursday Labs underwent a transformation that redefined their operations. The introduction of Content HQ streamlined their workflows, reduced redundancies, and significantly minimized the time spent managing fragmented data.

The success of Content HQ was highlighted in a heartfelt LinkedIn post by Jake Hurwitz, Co-Founder of Thursday Labs, who shared some of the team’s incredible milestones. Reflecting on their journey, Jake noted that Thursday Labs had expanded from producing one podcast series 18 months ago to managing 25 shows across multiple industries, publishing 212 episodes and over 30,000 short-form posts across platforms. This growth was supported by a fully bootstrapped approach, which recently propelled the company past the seven-figure ARR milestone.

Jake acknowledged the role of infrastructure in this success, emphasizing how the team had rebuilt their internal systems three times to provide a seamless and automated experience for clients, podcast guests, and the internal team. The shoutout to Optemization underscored the impact of Content HQ in achieving this vision, contributing to a more organized, scalable, and user-friendly framework that supported the company’s rapid growth.

”We rebuilt our entire internal infra to provide a more seamless and automated experience for our clients, podcast guests, and team. Shoutout to the whole team at Optemization!”
