Welcome to this week's newsletter. In this edition, we're delving into another chapter from our Notion Engineering Bible (still deciding on the name) to explore teamspaces, permissions, and groups as you onboard new users to your workspace.
When you invite someone to your workspace, they'll be directed to a default teamspace, which happens automatically, even if you haven't configured it. If you're unsure about your default teamspace, you can find it in "Settings & Members" under "Teamspaces" and "Default Teamspaces."
When it comes to teamspaces, most companies set up at least two: one "open" (default) teamspace used as the company's HQ and additional private ones such as Executive, IT & Security, or Human Resources. When dealing with confidential information, it's best to create a separate teamspace for that department so it can be locked down. Larger organizations commonly have a separate teamspace for their Product and Engineering teams for improved project management and collaboration.
Once a user is invited into your Notion workspace, we highly recommend creating a "homepage" in the default teamspace. This page serves as a warm welcome and a central hub for vital information, facilitating easy navigation within your workspace.
The homepage should feature key elements, including company announcements, links to your team dashboards, employee directory, company policies, tool stack, and your company's Notion guides.
Additionally, you'll want to ensure that your homepage aligns with your brand's aesthetics by incorporating consistent colors and images to help maintain a cohesive appearance throughout your workspace.
Another important consideration when onboarding new team members is assigning them to groups within your Notion workspace. Groups are essential for maintaining the workspace’s integrity and structure. As we all know, in any organization, information is layered, and team members need varying access levels. Engineers may need to edit feature specs, while your marketing team may only need to review and comment. By utilizing groups, you can streamline access management and avoid the complexity of granting permissions individually while minimizing the risk of overlooking who has access to which pages or teamspaces.
